Print Visitor Tag

The Print Visitor Tag feature allows you to generate a small label or card with essential visitor information immediately after the check-in process. You can print the tag using any printer configured on your device, whether it’s a standard office printer or a specialized adhesive label printer.

This article explains how to use the feature and what settings we recommend for the best print quality.

What information appears on the tag?

The printed tag includes:

  • Visitor name
  • Visitor company (if applicable)
  • Host (who they are visiting)
  • Arrival date and time
  • Your account name

The design is simple, black-and-white, and optimized for small adhesive labels, but it can be printed on any paper size depending on your printer.

🧾 How to print the visitor tag

  1. Complete the visitor check-in in LobbyFix.
  2. At the end of the process, select “Print visitor tag.”
  3. A preview window will open showing the tag design.
  4. Choose your preferred printer from the browser’s print dialog.
  5. Review the recommended settings:
    • Orientation: Horizontal or vertical depending on your printer
    • Scale: 100%
    • Margins: None or minimal
    • Paper size: You can use the default or set a custom size if you're using adhesive labels
  1. Click Print.

Your visitor tag will be printed immediately.

🖨️ Which printers can be used?

LobbyFix allows you to print using any printer installed on your computer or tablet, including:

  • Office printers (laser or inkjet)
  • Thermal label printers
  • Printers that support PDF printing
  • USB, network, and Wi-Fi printers

LobbyFix does not require a specific brand or model.

If you want to print small adhesive visitor labels, especially at front desks or corporate receptions, we recommend direct thermal printers, as they are fast, reliable, and do not require ink.

Common models include:

  • Brother QL-800 / QL-810W / QL-1100
  • Zebra ZD410 / ZD420 / ZD421
  • Ribetec models with thermal label support

These printers work as standard system printers and allow you to print labels around 76 × 50 mm (3” × 2”), which is an ideal size for visitor tags.

🛠️ Helpful configuration tips

  • Keep the print scale at 100% to prevent distortion.
  • If the printer cuts off parts of the tag, adjust the paper size or reduce margins.
  • On thermal printers, choose graphic mode or image mode for better print quality.
  • If using adhesive labels, ensure the label size matches the dimensions of the tag.

You can manually adjust the paper size or scale in your browser’s print dialog until the tag fits correctly.
