Getting Started with LobbyFix

Weโ€™re excited to have you on board. Our goal is to grow together and give you the best experience possible. This quick guide will help you set up your account and make the most of LobbyFix from day one.

1. Sign-up & Installation


  • Visit lobbyfix.com and create your account.
  • Youโ€™ll get access to your control panel to configure and manage visits.

LobbyFix works from any browser, but you can also install:

  • Android app
  • Virtual Receptionist (iPad)


2. Add Colleagues & Employees


In the Team section, you can add unlimited users. User types include:

  • Host โ†’ Sends QR Invites, approves/denies visitors. ๐Ÿ‘‰ Host User Guide
  • Receptionist โ†’ Host permissions + registers visitor entries/exits. ๐Ÿ‘‰ Receptionist User Guide
  • Administrator โ†’ Full access.


Each new member receives an email invitation to activate their account.

3. Add Tenants (Companies)


In the Tenants section, you can configure each tenant with:

  • Company name
  • Location
  • Tenant Admin (manages users and receives notifications)


Tenant Admins also receive an email invitation to activate their account.

4. Personalize Your LobbyFix Experience


From the Settings section, you can:

  • Update your company name, logo, and address
  • Set a default administrator
  • Add custom fields to visitor forms

Other customization options:

  • Building photo
  • Google Maps link
  • Personalized welcome message

5. Invite Your First Visitors / Create QR Codes


From the Invites section (web or mobile app), you can create QR code Invites. You can also send them directly from your email or WhatsApp.

  • Invites are sent to the visitorโ€™s contact info (email/WhatsApp).
  • They are valid for both check-in and check-out.
  • They remain valid for the scheduled period, with ยฑ1 hour tolerance.

6. Check-in Your First Visitors


From the Today's visitors section, check-in visitors in two ways:

  • QR code:
    • Go to Today's visitors > Check-in
    • Click Scan QR code and point the camera at the visitorโ€™s QR code
  • Manual check-in:
    • Go to Today's visitors > Check-in
    • Fill out the visitor form
